Overview

EpiqMinds is committed to delivering an exceptional 1:1 Robotics & AI learning experience for every child. We understand that enrolling in a new program is a significant decision, and we want all families to feel confident and informed before committing.

This policy applies to all EpiqMinds Level 1 enrollments under the Founding Member offer (Monthly Plan at $549 and Pay Upfront plan at $499). This policy governs refunds, cancellations, and returns of the hardware kit.

Please read this policy carefully before enrolling. By completing your enrollment and payment, you agree to these terms.

Hardware Kit Policy

The hardware kit is a physical product that is prepared, packed, and shipped specifically for your child's enrollment.

  • Once the kit has shipped, the kit cost ($100) and shipping charges are non-refundable under any circumstances — including if you cancel before sessions begin.
  • If a kit arrives damaged or with missing components, contact us within 7 days of delivery at hello@epiqminds.com with photos, and we will arrange a free replacement.
  • Kits that have been opened and used (components assembled or circuit boards tested) cannot be returned.
  • If a refund is approved for the program fee portion, you are not required to return the kit — it is yours to keep.
ℹ️ Important: The kit is shipped within 3–5 business days of enrollment confirmation. If you are unsure about enrollment, please contact us before payment is processed so we can delay shipment if needed.

Session Cancellation Policy

Individual sessions (not the full program) may be rescheduled or cancelled by the family with notice:

24+ hours notice:Session can be rescheduled at no cost, no penalty.
Less than 24 hours notice:The session may be counted as attended and may not be reschedulable, at our team's discretion.
No-show (no notice):Session is counted as attended and is non-refundable.
EpiqMinds cancels a session:A full replacement session will be provided at no cost to you.

Monthly Plan — Cancellation Mid-Program

If you are on the Monthly Plan ($549) and wish to cancel after Month 1 but before completing the full program:

  • Cancel before Month 2 payment: Month 2 and Month 3 payments will not be charged. No refund on Month 1.
  • Cancel mid-Month 2: Month 2 payment already collected is non-refundable. Month 3 will not be charged.
  • Cancel mid-Month 3: Full Month 3 payment collected is non-refundable. No further charge.

The hardware kit and any sessions already attended are non-refundable in all mid-program cancellation scenarios.

Monthly payments: You must notify us of cancellation at least 5 business days before your next monthly payment is due to avoid being charged for the following month. Contact us at hello@epiqminds.com.

How to Request a Refund

All refund requests must be submitted in writing. Here is the process:

Include your full name, child's name, enrollment date, payment reference, and the reason for your refund request.

Our team reviews your request
We will review your request within 3 business days and respond with confirmation of eligibility and the refund amount.

Refund is processed
Approved refunds are processed within 7–10 business days via the original payment method.

Disputes & Exceptions

EpiqMinds reserves the right to make exceptions to this policy at our sole discretion in cases of genuine hardship, medical emergency, or other extraordinary circumstances. Each case will be reviewed individually and fairly.

If you believe your situation warrants an exception, please write to us at hello@epiqminds.com with full details. We will do our best to find a fair resolution.

This policy is governed by the laws of India. Any disputes that cannot be resolved directly with our team may be referred to appropriate dispute resolution mechanisms under applicable law.
